Stanford Water Polo Club Parents & Athletes:

Junior Olympic Volunteers Still Needed: We are still in need of volunteers during the girls portion of the upcoming Junior Olympics, August 2-5. Even if you have already volunteered your time at another facility, at some point during the JO tournament we ask that you sign up for at least one shift to help at Stanford. The volunteer sign up sheet has been updated and reformatted to show game times, pools and ages of competition. There is a separate tab at the bottom of the sign up sheet for each day of competition and you can sign up for any open slot, on any day, at any course. No experience is necessary. West Valley & Santa Cruz Tournament Information Posted: Rosters, game days, game times, pool locations and maps are now posted below for this weekend’s West Valley and Santa Cruz Tournaments. (Original Junior Olympic Volunteer Request Letter-Sent July 6, 2012)

Stanford Water Polo Club Families:

It is with great excitement that we announce Stanford Water Polo Club’s hosting of this summer’s USA Water Polo National Junior Olympics. The tournament, which will be held July 28-August 5, has become the single largest annual water polo tournament in the world with 540 teams and over 8,000 athletes coming together from across the country. Please take a moment to read through the letter below, as we will need the help of the entire Stanford Water Polo Club family in order to make this tournament a great success.

Stanford boys have qualified 9 teams in 5 different divisions matching our club’s highest total number of teams to qualify for the tournament. With four consecutive days of intense and high level game play the tournament will mark the close on one of the most successful summers in our club’s history. As our coaches and athletes continue to prepare for the competition, we are also in the final stages of the planning and coordination of this incredible event.

When we last hosted this tournament in 2009 we received an abundance of feedback on how well the tournament was run, which directly resulted in the overall experience of the athletes that had the opportunity to participate. This could not have been done without the overwhelming majority of our club families volunteering their services.

One of the most important undertakings still left to organize will be the staffing of the desk for the games which will be held at the Avery Aquatics Center. We are currently planning on a full schedule of games at Stanford, with four courses for various age groups and as many as 480 games being played over the course of the eight days. To help facilitate the ability for families to watch their children play while still staffing the desk with parents and athletes the girls side of Stanford WPC will be responsible for staffing the boys portion of the tournament while the boys side of Stanford WPC will be responsible for staffing the girls portion of the tournament.

Many of you have asked how you can help. Well, here is how….

Each of our age groups, 12&U-18&U, will be responsible for the staffing of one of the four courses that will be set up during the girls JOs August 2-5th, each course will need 3 volunteers per game/block. A Google Doc has been created and attached at the bottom of this email where you can sign up for a block of time on any, or all, 4 days of the tournament. We ask that each family sign up for at least one block during the tournament. If possible, we encourage families to work together (e.g. mom, dad, son) in order to fill a block with all three desk workers.

Every family’s support is vital to our success, so please take a moment to help us by signing up today. We thank you all in advance for all your help in putting this Junior Olympics in a class all of it’s own and an unforgettable experience for all athletes, coaches, officials, parents and fans.

Reminder! Practices move to Summer Schedule:  Yesterday, June 11th, was the first day of the “Summer Practice Schedule”.  Please see the Practice Groups and Schedule page for the Practice Schedule and the “Noticeable Practice Changes” table below that.  Also check the Club Calendar for individual practices.

Practice Groups Updated:  Rosters on the Practice Groups and Schedules page of our web site have been updated.

Important!!  Please be on time to pick up your son/carpool at the time their practice ends!  There have been several recent occasions where our coaches have had to wait with athletes well past the end of practice for their ride to arrive.  In the rare case of an emergency, please make arrangements for a friend or relative to pick him/them up. Thank you for respecting our coaches’ time.

Team Suits & T-shirts*:  Team suits and T-shirts were distributed last week at Age Group and High School practices.  If your son has not received a suit and/or a T-shirt, please email Dawn at (email) to arrange a time to pick them up at the Avery Aquatic Center at Stanford University.  It is best to have your son with you so he can try on the suits.
*Note: Junior Polo athletes will receive T-shirts next week. (Athletes who are participating in the Two-Week Trial will receive a T-shirt if/when they choose to continue for the remainder of the session.)  If athletes would like a team suit, please visit our online Team Shop to place your order.  (Suits are not included with Junior Polo registration.)

Team Shop Orders:  Last Thursday, June 7th, was the pick up day for Team Shop orders submitted and paid for by 5/31.  If you forgot to pick up your order, please email Dawn (email) to arrange another pick up time.
If you would like to place a Team Shop order for some of the great new gear you’ve been seeing around, click on the Team Shop button on the left and follow the instructions.  Please be sure to MAIL in your Order Confirmation Sheet and payment check so it all safely arrives in one place.  (Please do not hand orders to coaches.  Thank you.)

Junior Polo: June 11 - July 25, 2012

For select High School and Age Group athletes, the session will go as long as July 31. This will be based on an athlete's selection to and participation on a Junior Olympic team, and whether that team qualifies for the Junior Olympics, taking place locally from June 28 - July 31. Athletes who participate on a J.O. team will be charged a small additional fee to cover the cost of the extra week of practice, which will be collected with J.O. costs. (More information on J.O.'s, the qualifying tournaments, and the logistics to come.)

Registration
Registration is now available for new members wishing to register for the 2012 Summer Session. Click here for the Registration Form and to begin the registration process. Please read and follow the directions carefully. Registration is only available online. If you need assistance with registration, please e-mail Dawn (email).

All returning Club members who have participated since the 2011 Summer Session will receive an email with their short-cut registration renewal link by Tuesday, April 24. This will allow returning members 3 days to register before we open registration to new athletes. We encourage families to not delay in completing registration, as space in each practice group will fill on a first-come, first-served basis.
Note: Be sure to review and update your information before submitting your online registration form.

All athletes must submit all of the following documents in order for registration to be processed. To qualify for Early Registration, all of the items below must be postmarked by Tuesday, May 15, 2012.
1. 2012 Summer Session Waiver (signed)
2. Copy of current 2012 USA Water Polo Athlete Membership*, either Gold or Silver, even if you submitted it for a previous session. Your affiliation must be with Stanford Water Polo Foundation, club #570, Pacific Zone (#6).
3. Session Dues Payment in full (check payable to NCWPC). (See session cost table below.)
4. Equipment Fee of $25 (check payable to SWPF, must be a separate check from Session Dues Payment).

USA Water Polo Membership*
Please visit www.usawaterpolo.org to update and/or print out a copy of your USWP membership to submit as part of your registration paperwork. Summer Registration cannot be processed without a hard copy of your 2012 membership (either Silver or Gold Athlete Membership). A copy of your Membership Confirmation is sufficient.
*Athletes wishing to be selected to a J.O. Team must be affiliated with our Club, Stanford Water Polo Foundation, club #570, Pacific Zone (#6) no later than 7 days prior to the commencement of the zone qualification tournament. USWP is very strict on this and there is no grace period.

Note On USA Water Polo Age Verification
USWP is implementing a new birth date verification requirement for all athletes participating in National Championship Events. This will be a one-time-charge of $5.00 paid online through TC logiQ Secure Website. Gold athlete members must complete this process prior to participating in any National Championship Event, in particular the Regional Junior Olympic Qualifier, which is fast approaching. This process can take up to seven (7) days to receive results so we urge all athletes to complete the verification right away, to avoid delays as the qualifiers get closer. Clubs will not be able to verify and submit rosters until all athletes' birth dates have been successfully verified in our system.

For those of you who are concerned about submitting your son’s social security number, USWP has noted that by having users log onto the TC logiQ secure website directly to enter the required Social Security number they are attempting to safeguard every member's very personal information.  The athlete's social security number is not recorded on the USA Water Polo website at any time, nor is it stored within TC logiQ. Once your birth date has been verified, it is deleted from the TC system completely, and only a verified response is sent to us and we record the "approved birth date" in the athlete's membership profile.

This one-time process will eliminate the need for athletes and coaches to carry proof of birth date when participating in a National Championship. We encourage all of our members who have the intention of participating on one of our summer’s Junior Olympic teams to complete the verification process as described by USWP as soon as possible. Sibling Discount: Additional High School and Age Group siblings may deduct $50 from their registration cost. (May not be combined with the Girls' Club, and Junior Polo athletes cannot be considered in this discount.)

Refund Policy: The $25 Equipment Fee and $100.00 of the Session Dues Payment is non-refundable. The balance is refundable at a pro-rate during the first three weeks of the session. For a refund, please e-mail Dawn (email). Refunds are pro-rated from the day the e-mail is received.

Two-Week Club Trial Membership (May 21 - June 3 for High School and Age Groups; June 11 - June 24 for Junior Polo)
If you are new to the Club and interested in our Two-Week Trial, payment and all registration materials, including USA Water Polo Membership, must be completed in order to participate. Your check will not be cashed unless you decide to continue with the program. Please be sure to write on your waiver that you are requesting the trial membership.

If you are new to the sport of water polo, you may use the USA Water Polo Trial Membership. (click here). Per USA Water Polo rules, the Trial Membership is a one time, one week membership which will activate the day the application is signed. If you plan to use this membership, be sure to date the application with the date of the first day of the session, make a copy to submit with registration, and fax the original to USA WP. Because the Trial Membership is good for only one week of practices (no competitions), you will need to register for the Silver or Gold Athlete Membership at the end of the first week if you want to continue the Stanford Water Polo Club Two-Week Trial and, potentially, the remainder of the Summer Session.

Gear is available for purchase through our online Team Shop* (button on the left) from Saturday, April 28 - Monday, July 2. You will find several new items that are sure to make you swim faster and shoot harder... Well, they will make you look like a Paul Rudolph or a Robert Dunlevie if not play like them! Be sure to also check out the sale items, which have limited quantities, so submit your order and payment early for best selection! All gear, except team suits and T-shirts (see below), is optional.

All 2012 registered Summer Session athletes will receive a new Stanford Water Polo Club team suit and T-shirt which are included in the cost of your registration, and we ask that all athletes wear their Stanford Club suit and T-shirts to all games.

Note: Junior Polo athletes will receive a T-shirt but not a team suit. Jr. Polo athletes are welcome and encouraged to purchase/wear a team suit, but it is not mandatory.

Practice Group Assignments
Group assignments will be made by the coaching staff and posted on the Practice Groups and Schedule page of our web site by Friday, May 18. Criteria for each athlete's placement into a group is based on, but not limited to, age, position, ability level, experience, eligibility to participate on a JO team, and longevity with the Club.
Note: There may be some changes to practice group assignments during the first few weeks of the session while coaches assess athletes in their pre-assigned practice groups.

The division between the Age Groups and High School groups is based on birth date. Players born August 1, 1997 and later will be assigned to one of the Age Groups: AG 1 AG 2, or Jr. Polo groups, while players born July 31, 1997 and earlier will be assigned to one of the three High School groups: HS 1A, HS 1B, or HS 2.

Junior Polo Group
The Junior Polo Group will begin their Summer Session on Monday, June 11. Please make a note of this, as this is the only group that begins on this date. This group is for younger athletes who are just getting started in the sport of water polo. The group is mainly comprised of athletes born in 2001 or later. However, if your child was born in 2000 and does not have 6 months of water polo experience, he may sign up for this group. Games/scrimmages will take place on Saturday, June 23 and Sunday, July 21 from 9:00-11:00 am at Roble. Additional games may be scheduled at a later date and will be posted as soon as any information becomes available.

Junior Olympics
The boys' Junior Olympic Tournament will take place July 28th-July 31st, and we hope to qualify as many Stanford Club teams as possible. In order to participate at the Junior Olympics, teams must first qualify through our Pacific Zone qualifying tournament. (See dates above for each age group's qualifying dates.)

Athletes wishing to be considered for a JO Team, athletes must commit and declare themselves eligible by submitting their Junior Olympic Commitment Packet preferrably with their Registration Packet, but postmarked no later than Friday, May 25th, which MUST include:
1)  J.O. Declaration of Commitment (signed and dated);
2)  $100 deposit (check payable to NCWPC —no cash, and separate check from summer dues);
3)  copy of your USWP/TC logiQ Age Verification Confirmation (as described above).
Note: A $10 late fee will be collected with EACH item that is late/missing from the packet.

In addition, Athletes wishing to be selected to a J.O. Team must be affiliated with our Club, Stanford Water Polo Foundation, club #570, Pacific Zone (#6) no later than 7 days prior to the comencement of the zone qualification tournament and must have a photo headshot uploaded onto their USWP Membership.

The J.O. Declaration of Commitment will print out with your registration signature pages upon submitting your online registration form and can also be accessed by clicking here.

Per USA Water Polo's Conduct of Championships, an athlete's age for USA Water Polo Zone Qualification Tournaments and National Championship events will be determined by an athlete's age as of August 1. Thus, the age cut-offs per group for the 2012 Junior Olympics will be as follows:

10&U: August 1, 2001 and after
12&U: August 1, 1999 and after
14&U: August 1, 1997 and after
16&U: August 1, 1999 and after
18&U: August 1, 1993 and after

Selection to a JO team is based on, but not limited to, the following criteria: position, ability level, experience, and attitude. Athletes selected for Junior Olympic teams to play in their respective Qualifying Tournaments will be posted on our web site by Sunday, June 10.
Note: Stanford Club athletes may be selected to play up an age group. Such decisions will be made by the coaching staff on a case by case basis.

Athletic Scholarships
The Stanford Water Polo Foundation Athletic Scholarship Fund helps athletes participate in our program who otherwise would not be able to due to financial hardship. For those who would like to contribute to this fund in support of our athletes, please fill in the designated area on the registration form. Donations are tax-deductible. Please make these checks payable to 'SWPF', or 'Stanford Water Polo Foundation'. Thank you for your generosity.
